Who we are

This website (forgaxis.com) is operated by 福吉株式会社 (“Forgaxis”, “we”, “us”).
This policy explains how we handle personal information under Japan’s Act on the Protection of Personal Information and, where they apply, the Australian Privacy Act 1988 and the New Zealand Privacy Act 2020.

 

What we collect

• When you request a quote or contact us: your name, company name, email address, phone number (if provided), product type, project requirements, and any drawings or files you upload.
• When you place an order: the delivery address, the contact person and phone number for delivery, billing details and payment records.
• From public sources: business contact details (such as name, job title, work email and phone number) from company websites, industry directories and professional networks such as LinkedIn. We use these to contact businesses about products that may be relevant to them.
• When you visit our website: technical information such as your IP address, browser type and the pages you visit. Our web server collects this automatically.

If you do not provide the information we ask for, we may not be able to prepare a quote or fulfil your order.

 

How we use it

• To prepare your quote and respond to your enquiry
• To produce and deliver your order, issue invoices and receive payment
• To communicate with you about your project and our products
• To send you information about products that may be relevant to your business. You can opt out at any time.
• To run, secure and improve our website, including preventing spam
• To meet our legal obligations, including tax and accounting record-keeping

  We do not sell your personal information.

Your drawings and technical information

Drawings, specifications and design information are treated as strictly confidential, and you keep ownership of them. We use them only to prepare your quote and produce your parts. Only staff and manufacturing partners who need them for that purpose can access them, and our manufacturing partner is bound by confidentiality obligations. We sign Non-Disclosure Agreements (NDAs) on request.

 

Who we share it with

We share your information only with the following recipients, and each receives only what it needs for its role:

• Our manufacturing partner, to produce and ship your order
• Freight forwarders, shipping agents and customs brokers, to deliver your order
• Banks and payment providers (such as Wise), to process payments
• Service providers who help us run our business, such as website hosting and email
• Our professional advisers, such as our accountant
• Authorities, when required by law

International transfers

International transfers

We are based in Japan and work with customers in Australia, New Zealand and other countries. Your information may be transferred to and processed in the following countries:

• China: our manufacturing partner produces your parts and ships them directly to you. It receives the information needed for production and delivery, such as your drawings, company name, contact person and delivery address.
• Malaysia: our website hosting, email and other online service providers.

The privacy laws of these countries may differ from those of Japan, Australia or New Zealand. Japan’s Personal Information Protection Commission publishes information on the personal information protection systems of foreign countries at ppc.go.jp. We require our manufacturing partner to keep your information confidential and to use it only for your order, and we choose service providers that apply appropriate security measures.

We ask for your consent to these transfers when you submit a quote request.

 

How long we keep it

• Enquiries and quotes that do not lead to an order: 2 years after our last contact.
• Order, invoice and accounting records: as long as Japanese tax law requires (currently 7 years, or up to 10 years in some cases).
• Business contact details from public sources: until they are no longer needed or you ask us to stop contacting you. If you opt out, we keep a minimal record so that we do not contact you again.
• Website logs: only for a short period, for security purposes.

After that, we securely delete or anonymise the information.

 

Security

We protect your information with the following measures:

• Access to personal information and drawings is limited to staff who need it.
• Our email and business systems are protected by access controls and two-factor authentication.
• Our website uses encrypted (HTTPS) connections.
• Staff and manufacturing partners are bound by confidentiality obligations.
• We regularly delete information we no longer need.
• Where information is handled outside Japan, we have reviewed the personal information protection systems of those countries and apply these measures accordingly.

No method of transmission or storage is completely secure. If a data breach occurs that is likely to harm you, we will notify you and the relevant authorities as required by law.

 

Your rights

You can ask us to:

• access the personal information we hold about you
• correct or update it
• delete it, or stop using or sharing it
• stop sending you marketing messages

To make a request, contact info@forgaxis.com. We may need to verify your identity before acting on it. We will respond within 20 working days, and we do not charge a fee. We may be unable to delete some records, such as invoices, because the law requires us to keep them.

If you are not satisfied with our response, you can complain to:
